The Cleveland Restoration Society is a non-profit, 501(c)(3) membership organization dedicated to the preservation of greater Cleveland’s historic resources.  The Society advocates for the preservation of historic landmarks in greater Cleveland; promotes awareness of historic resources through educational programs and publications; sponsors events for its members; operates a Sacred Landmarks Assistance Program to aid the caretakers of religious landmarks with repair and maintenance issues; and operates the Heritage Home Program, a unique homeowner assistance program, in 40 cities and villages in Cuyahoga, Geauga and Lorain Counties.

The Membership, Events and Development Assistant has the opportunity to join a non-profit as a part-time staff person (20 – 30 hours per week) and assist with many of the important activities of the Cleveland Restoration Society. The position is ideal for a talented person who is looking for a part-time position.  This could include graduate students, retired persons, or stay-at-home parents.

Hybrid Work Arrangement: After an initial in-office training period, the Membership, Events and Development Assistant will work from the office every Thursday and may work from home the remainder of the time. There will be times when the Assistant will need to work in the office more than one day per week or at the site of an Event. Flexibility is key.

Responsibilities include:

Membership and Development

  • Assisting the Director of Development
  • Entering all incoming donations and complimentary memberships into the Charityproud database
  • Generating and mailing acknowledgement letters
  • Generating and emailing/mailing membership renewal letters twice per month
  • Printing, assembling, and mailing direct mail appeals, including Annual Fund and membership appeals
  • Running membership reports
  • Generating email contact lists and mailing lists for e-blasts, direct mail appeals, and other large mailings, such as the biannual Facade magazine mailing
  • Maintenance of records, including address updates and other basic record changes
  • Coordination with Business & Finance Manager to ensure matching financial records
  • Maintaining Paypal and transferring payments on a monthly basis

Events

  • Assisting the Events Coordinator
  • Setting up, tracking, and processing registrations for events
  • Assisting with securing and processing event sponsorships
  • Generating and emailing registration acknowledgements
  • Generating and mailing invoices for event sponsorships
  • Generating and mailing acknowledgment/tax receipt letters for sponsors and ticket buyers
  • Printing and assembling check-in sheets, nametags, and other materials for events
  • Contacting non-member registrants prior to members-only events to purchase membership
  • Assisting at events, including setting up the check-in table, checking in attendees and selling books

Office Administration

  • Provide administrative assistance to the President
  • Assemble and distribute weekly agenda for Monday morning team meetings
  • Maintain online Calendar for events and scheduled meetings
  • Provide assistance as needed in preparation for various meetings
  • Ship book purchases
  • Perform other duties as assigned

Qualifications:  The Assistant must be:

  • a quick study of business software programs, including Excel and Word, and have the ability to learn new programs such as CharityProud;
  • a team player with the ability to work successfully with a range of people, including staff members, and other individuals involved with Cleveland Restoration Society; and
  • a motivated self-starter able to work with little supervision.

Hourly Rate of Pay: The hourly rate of pay will be $14.00 per hour.
