Position Overview  

Verb Ballets seeks an organized and passionate individual to join its administrative team in the position of Company Administrative Manager. The Company Administrative Manager oversees every aspect of the internal, front office workings of the company, including master calendar for the organization, vendor management, development of internal reporting, and physical and digital record management. The Company Administrative Manager will be an invaluable team member, working intimately with the Producing Artistic Director and collaborating with the entire administrative team, the Board of Directors, and artistic staff. They will present a polished, capable, enthusiastic, and informed point of entry for donors, attendees, funders, presenters, collaborators, and supporters. The ideal candidate has experience managing a productive work environment within a high-paced organization. With knowledge and experience in Microsoft software (Excel, Outlook, etc.) and Database system such as Donortools.  A multi-tasker, able to prioritize multiple projects and deadlines while being productive. Past experience in the dance or theater field desired. Bachelor’s degree is preferred but not required.

Job Responsibilities 

Administration 

  • Manage every administrative aspect of front office.
  • Working with each member of the administrative and artistic teams, devise and manage master calendars and scheduling across the organization for all activities.
  • With Producing Artistic Director, schedule and communicate Board monthly meetings and committee meetings (live and virtual); gather and store all meeting minutes.
  • Manage company supplies, equipment and technology.
  • Serve as a key contact for all vendors including, but not limited to, printing, mailings, insurance, utilities, and copier/equipment.
  • Assist Producing Artistic Director in proper contract management and retention.
  • Create processes and lead the organization in physical and digital record management.
  • Own data collection and reporting for all performances, special projects, and school programs.
  • In conjunction with the artistic team, manage the flow of information for the securing of music rights.

Development 

  • Oversee timely and accurate processing and acknowledgement of all gifts within DonorTools.
  • Maintain donor records including invoices, pledge reminders, and monthly billing for annual donors. Oversee matching gifts program.
  • Maintain donor records and correspondents for the endowment fund.
  • Assist with monthly income reconciliation with the Finance.
  • Maintain donor recognition listings for print and publication.
  • Assist with maintaining donor benefits and recognition.
  • Perform wealth analysis to identify major donor prospects.
  • Contribute new ideas and/or initiatives related to all fundraising campaigns and events.

Marketing 

  • In collaboration with marketing, be a main source of information and updates for patrons and supporters for all fundraising events and performances.
  • Working with the marketing team, devise and manage retention of all visual assets (photos, videos, reviews, and programs).
  • Working with the artistic, marketing, and outreach teams, manage the creation of all programs.
  • Oversee coordination and proofing of marketing communications.
  • Provide administrative support as needed for special projects, performances, box office and special events.
  • Provide customer service support for ticketing purchases, box office, and records.

Additional Salary Information:  

This is a 30 hour per week part-time salaried position. Benefits include workers compensation, unemployment, flexible in office schedule, some work from home, one week paid vacation, paid professional development leave, and paid medical leave. Pay rate $17-20/hour depending on experience.
