Job Summary:

The Ensembles Manager is responsible for the planning and day to day management of activities for the various CIM performing ensembles for on- and off-campus performances.  The Ensembles Manager reports, and is responsible directly to the Director of Performance Operations with a dotted line to the Senior Associate Dean of the Conservatory.

Essential Functions:

  • Personnel related duties
    • Oversee attendance, and record keeping
    • Hire all substitutes
    • Maintain on-line personnel management system and CIM ensembles Facebook and Remind accounts
    • Interface with faculty on assignment of personnel, seating and rotation, building the string rosters, excluding double bass, and use chamber group assignments as basis for assignments to maximize chamber rehearsal/coaching scheduling efficiency.
    • Process, rank and determine outcomes of all absence requests in coordination with Director of Orchestral Program when needed
    • Organize and execute initial ensemble meeting and lead weekly ensembles meetings
    • Oversee all Large Ensemble performances and rehearsals (approx. 230 individual events per year, including 8-10 concert series performances, 4 conducting recitals, 2 fully staged operas, 2-4 New Music Ensemble concerts (and rehearsals for all of above) and 15+ Rep Orchestra sessions per academic year, plus any additional performances, including but not limited to convocation/commencement performances and other special events)
    • Supervise workstudy staff of 20+, co-supervise set-up crew
    • Supervise conducting students and create/manage their work schedules
    • Create and manage conducting student lesson schedule, staff them with workstudy personnel, request and manage spaces/equipment for conducting student activities, act as liaison between Director of Orchestral Program and conducting students.
    • Assist Director of Performance Operations with other duties as assigned.

 

  • Material Logistics
    • Interface with Concert & Events, Dean’s Office Recording Services, Distance Learning, President’s Office, Admissions, Business Office, Registrar’s Office, Financial Aid, Security, and Opera Department
    • Manage instrument collection and procure instruments as needed in coordination with Production and Ensembles coordinator
    • Manage all logistics for run-out performances and tours, including travel, lodging etc.
    • Interface with Marketing Office (printed programs coordination, program notes, bios, personnel rosters, guest conductor/soloist radio appearances, provide program 3-liners for marketing materials, etc.)

 

  • Musical Logistics
    • Create and execute schedule of sectionals, rehearsals, room and faculty assignments
    • Interface with and assist conducting staff
    • Interface with Composition Department for readings
    • Manage soloists’ performance date assignments and rehearsal schedules, hospitality and social arrangements (i.e. receptions, Development/Marketing needs)
    • Act as timer and jury assistant for concerto competition

 

  • Planning/Other
    • In conjunction with the Director of Performance Operations, create and execute daily rehearsal schedule for school year (approx. 230 individual events per year)
    • Participate in ongoing meetings with Directors of Performance Ops, RAS, Production and Ensembles Coordinator, and Concert Facilities and Box Office coordinator each spring to plan and schedule the concert series events
    • Procure all local and regional performing ensemble schedules
    • Balance repertoire requirements of all large ensembles, check CIM performance history and seek input from faculty and ensemble directors and make recommendations for necessary changes
    • Interface with all heads of ensembles throughout the calendar year and act as assistant to Director of Orchestral Program and any visiting conductor
    • Manage orchestra audition process and coordinate the audition day orchestra for prospective conducting students’ auditions.
    • Coordinate wind/brass orchestral rep class (just a name change)
    • Assist with communication, scheduling, reimbursements and logistics for guest conductors, including on-site assisting/hosting
    • Other duties as assigned

Minimum Job Requirements:

Education:                  Bachelor’s Degree in music.

Experience:                 Demonstrated experience in arts management/education and performance.

Specific Skills:             Outstanding interpersonal skills in planning, working and communicating with varied constituencies.

 

Working Conditions: Professional Working Environment

Physical Demands: Position requires some travel and managing luggage and CIM materials. Ability to roll pianos from one spot to another and to set up performers’ chairs and stands.  Assist with set-up and strike of non-performance and performance events.

Qualitative Requirements:

The ideal candidate for Ensembles Manager will have the ability to interact in a thoughtful and proactive way with Conductors, Faculty, Staff, Orchestral Conducting Majors and, on average, 270 (60% of student body) students to help create a supportive environment.
